About this policy

This policy explains how G8 Knock collects, uses, stores, and shares information when societies, administrators, residents, guards, and authorised personnel use the G8 Knock platform, resident app, guard app, and related services.

Information we collect

• Account details such as name, email address, mobile number, role, and login credentials.
• Society and residence details such as society, flat, gate, and assigned access role.
• Visitor, household staff, service request, entry, exit, and guard duty records.
• QR pass details, approval decisions, notifications, and security audit history.
• Technical data needed to operate and secure sessions, including timestamps and service logs.

The guard app may request camera access to scan QR passes. Camera images are used for scanning on the device and are not stored by G8 Knock as photographs.

How we use information

We use information to authenticate users, manage society access, issue and verify passes, record attendance and duty, handle service requests, send operational notifications, provide support, prevent misuse, and maintain audit records required for society security.

How information is shared

Information is visible only to authorised users according to their role and society. For example, guards receive the pass information needed to verify entry, while society administrators can manage profiles and review operational history. We may also use infrastructure and technical service providers that process data on our behalf. We do not sell personal information or use it for third-party advertising.

We may disclose information when required by law, to protect users or the service, or as part of a business transfer subject to appropriate safeguards.

Retention and security

Records are retained for as long as needed to provide the service, meet society security and legal requirements, resolve disputes, and enforce agreements. Retention may vary by record type and the society customer's instructions. We use access controls, encrypted connections, password hashing, session protection, and audit logging to protect data.

Your choices and rights

Users may ask their society administrator to correct profile or residence information, deactivate access, or request deletion where applicable. Some security and transaction records may need to be retained for legitimate operational or legal purposes.

Children

G8 Knock is an operational society-management service and is not directed to children under 18. A society should only add a minor's information where it has an appropriate lawful basis and guardian authorisation.
